Hallsville PTO Leadership Team Minutes

January 14th, 2008

 

Jennifer Blumer, Co-Chair , called the meeting to order at 7:00 pm. 

 

Present were:  Amy Bartlett, Laura Kabrick, Penny Fadler (came later), Daniel Lane, Jay Pearman, Suzanne Stillwell and Annette Tessaro.

 

Treasurer’s Report:  Penny Fadler gave the treasurer’s report see below.  Ending balance is $15,081.78.  Highlights include: 1) $17,652.94 profit due to Cherrydale Fundraising 2) Fall Carnival profit of $1160.38 and 3) Candy-gram profits in November and December of $358.

  Laura read a note from Brenda McMorris thanking PTO for the $50.00 contribution to Girl Scouts. 

 

Committee Reports: 

Box Tops:  Annette Tessaro  reported that a new campaign  began Jan 3rd and will run through March 7th .  Mrs. Turner’s, Mrs. Heet’s and Mrs. Forbis’s classes were winners in the Primary building.  Mrs. Williams’s and Mrs. Bartlett’s classes were the winners in the Intermediate Building.  Annette did cocoa parties for them.   

 

Fall Festival:  Amy Bartlett, chair reported that she did not have final totals yet on the Fall Festival (Penny Fadler-later reported the numbers in the treasurer’s report).  All present agreed that the carnival had good participation, and in the end a good number of volunteers.  Amy compiled a list of suggestions for next year and one of them she shared is what is the goal of the carnival?  Is the goal to be a fundraiser or a fun event to bring families, school and community together?  After some discussion it was agreed by all present that the event be held primarily as a family-school-community fun event.  The fundraising with the silent auction, admission and foods sales would be secondary. A modest fundraising goal would be set.  Another activity or event would be held to serve as the primary fundraiser.

 

Create-a-Gift:  Laura Kabrick reported that 58 students with their families participated in the event, for a total of  95 painters.  PTO’s cost for the event was $665.00 (PTO paid for the firing fee per painter).  The plates were delivered during the second week of December.  Twenty scholarships (10 in the Primary building and 10 in the Intermediate building) were offered to students that would not have otherwise been financially able to participate; only 4 scholarships were used.  School administration paid for these students.

 

Candy-grams:  Laura Kabrick reported that the Candy Grams are doing well.  Three candy-grams have been held so far and we have earned approx. $500.00!  The next candy-gram will be held February 11-13th .  It was decided to sell chocolate kisses; Annette Tessaro will purchase these.

 

I.                   Old Business

a.       Updating of by-laws:  Formed a committee consisting of Jennifer Blumer, Laura Kabrick, Penny Fadler, Annette Tessaro and Brenda McMorris (past PTSA president) to update these by-laws.  Kami Griffith will also be asked to participate.  A meeting date of January 26th at 1pm in the Intermediate Commons was set.

b.      T-shirt/ apparel sales:  It was decided not to design a new shirt and begin a new sales campaign because of the new designs and T-shirt sales the Intermediate building and Primary buildings have done recently.  Jennifer and Suzanne suggested that we continue to work on reducing current PTO apparel inventory and table the discussion of a new shirt design until the June meeting.

c.       Sock-hop party for Intermediate party (mentioned in September’s meeting).  Most present were neutral about having this dance.  Since Vicki Stremke and Pam Billington had mentioned this, Laura Kabrick will contact them to see if they would be interested in organizing this. 

 

II.                New Business

a.       Room parties:  Laura Kabrick reported several problems with class parties.  She suggested that instead of PTO organizing room parent coordinators, that we leave this up to the teachers and give the PTO funds directly to the teacher. All present agreed.

 

b.      Renewal of PTO sponsored Newsletter Home and School Connection $195.00:  All present discussed whether to renew this publication as requested by Cindy Brodersen.  This publication is distributed to grades 2nd-5th.  Dan Lane stated that the administration is distributing a similar publication district-wide and stated that the Home and School Connection would be duplication.  We decided not to renew the newsletter on this basis. Penny Fadler will discuss this with Cindy and ask if there was something else we could put these funds toward.

 

c.       Pastries for Parents:  This event is scheduled for January 30th, 31st and  Feb1st in Primary building and  February 5th-8th in Intermediate building.  The event will be held in the building libraries from 7:30-8:00am. Annette Tessaro called a variety of stores to check on the prices of doughnuts.  She found the best price of $3.29/dozen at C&R Market in Centralia.  She will order the doughnuts and pick up milk and juice based on last year’s consumption.  Laura Kabrick will make flyers to go out this Friday.  Suzanne volunteered to help with set-up each morning and to get teacher help.  Laura will get some parents to help with each grade level.

d.      Middle School Dance (6th, 7th, 8th grade party 7-9pm February 8th):  Penny Fadler reported that she asked Heather Alley to chair this committee.  Penny will recruit other volunteers from the Middle School volunteer list.

e.       Valentine’s Day Candy-gram (February 11-13th)

f.       Roller Skating Parties:  Jennifer Blumer reported that the roller skating parties are scheduled for March.  The Pre-K through 5th grade party will be held March 8th at Empire Skating Rink from 11:30-1:30.  Grades 6-8 will be held on March 15th from 4:30-6:30pm.  Empire’s cost is $3.50 per person.  PTO will pay $1.50 of this, so the cost for the parents and students participating will be $2.00.

g.      March17th, 2008 Meeting: The format of the March 17th, 2008 PTO meeting was discussed.  Because the March meeting in election years is traditionally a forum for school board candidates, we will start planning for this and finalize plans at the February meeting.  Jennifer Blumer will contact Judy George at the end of this month to see how many candidates filed. 

h.      Planning for May 8th PTO meeting.  We also discussed a program for the May 8th meeting.  Traditionally, a short business meeting has followed a recognition ceremony of retiring teachers and administrators.  Jennifer will also check to see how many retirements have been announced.

 

i.        PTO office nomination and elections:  Talked about when to hold nominations and elections.   Suzanne stated that nominations were made at the April meeting and elections were held at the May meeting.
