Hallsville PTO Leadership Team Minutes

November 2, 2006

Jennifer Blumer, Chair of the Leadership Team, called the meeting to order at 7:15 pm.

Present were:  Amy Bartlett, Laurie Fowler, Laura Kabrick, Daniel Lane, Deanna Rowland, Suzanne Stillwell, Annette Tessaro and Kami Wimer.

No treasurer’s report given.

I.       Old Business

A.   By-Laws Committee:  Jennifer Blumer reported that this committee has not met and she and Kami have looked at various materials separately, but need to come together to put something on paper.

B.     Movie Night:  Laura Kabrick reported on the Movie Night.  Attendance was poor compared to the movie night held last year, perhaps a third of the number attending last year.  Part could be due to the wet, rainy weather and in part due to other activities occurring that week.  Also, some teachers made the comment that it was hard to attend because of the end of quarter duties and preparations needed for parent teacher conferences that were coming up later in the week.  Also the second movie choice needs to appeal to a broader range of ages.  The older children lost interest in the second movie because it was too juvenile.

C.    Fundraising:  Annette Tessaro reported on her findings about the Box Top For Education Fundraising Program.  She indicated that Hallsville Schools has participated in the past, but the amount raised has not been very much.  She mentioned several ways in which we could promote and raise awareness of the program.  She stressed we could easily double what we took in last year, which was $500.00 and added that it is an easy and unobtrusive way to raise funds.  Suzanne mentioned that Sheri Breidwell has been in charge of this initiative in past and that Annette should coordinate with Sheri regarding the promotion of this program.  The Campbell Soup label program was also mentioned, but since the rules of the program have changed it was thought that this was not as beneficial to the school as the Box Tops for Education Program.  Annette will take the charge in getting the Box Top Program started.

D.  Mud Room Create an Ornament Night: Deanna Rowland reported that everything was set for Tuesday, November 7th and that there were plenty of volunteers.

E.  Merchandise:  Suzanne Stillwell reported that the merchandise orders were trickling in and that one large order was placed with M&M Printing in the middle of October.  Some items were on back order though.  The inventory of older merchandise, which was put on sale, has been substantially reduced.  She reported that we had no stocking hats or mugs left and since these seemed popular she was going to investigate on whether we should reorder.

F.  Fall Festival and Carnival:  Amy Bartlett, Chair, reported on the plans for the Fall Festival.  She stated that she had most volunteer positions filled, but need some help in setting up on Saturday.

II.                New Business

  1. Fundraising:  The discussion on unobtrusive fundraising led to several ideas about how to raise funds with minimal effort.  Fundraising, beyond what PTO has done in the past, may be more important since it was learned that playground equipment for the new primary building was not budgeted.  Deanna Rowland suggested selling cookie dough.  Hy-Vee will provide the cookie dough, the tubs are pre-sold at $10.00 per tub and the school will get 50% of the proceeds.  Laurie Fowler suggested selling Krispie Crème doughnuts, someone else suggested a Chuckie-Cheese fundraiser.  Annette Tessarro and Daniel Lane suggested in the short-term, several Candy-Gram fundraisers, where students, teachers and staff could send a small piece of candy with a note for 25 cents.  Mr. Lane thought this would enhance the character education program.  Annette also mentioned that this was highly successful in Centralia schools where she helped with the program. The group decided to hold several Candy-Grams, one for Thanksgiving, Christmas and Valentines Day.  Annette volunteered to coordinate the first one and Daniel Lane, Laura Kabrick and Laurie Fowler will assist.

  B.     Game Night:  The group decided to hold a game night at the end of January. Planning for the activity will occur at the Leadership team meeting in January.

The next Leadership Team Meeting was scheduled for Thursday, January 4th in the Elementary Commons.

The meeting was adjourned at 8:50pm

Respectfully submitted,
