Hallsville PTO Leadership Team Minutes

Jennifer Blumer, Chair of the Leadership Team, called the meeting to order at 7:05 pm. 

 

Present were: Kristie Baumgartner, Penny Fadler, Laurie Fowler, Laura Kabrick, Daniel Lane, Abby Reed, Shawn Ricketts, Suzanne Stillwell, Annette Tessaro and Kami (Wimer) Griffith.

 

The minutes from the November 2nd Hallsville PTO Leadership Team Minutes were read and approved.

 

Penny Fadler presented the treasurer’s report.

 

I.       Old Business

 

A.   By-Laws Committee:  Kami Griffith reported that this committee has not met.

 

B.     Game Night:  Suzanne Stillwell reports that Game Night will be held on Friday, January 19th from 7pm-9pm in the Elementary school library.  The kindergarten (Leigh Pemberton) and third grade teachers (Becky Smith and Donna Blevins) will be organizing games and helping out.  Annette Tessaro, third grade parent representative and Deanna Rowland, kindergarten parent representative, will organize parent help.  Suzanne will design the flyer and send it out next week.  She also mentioned that the computer lab will be available.

 

C.    Mud Room Report:  Penny Fadler and Suzanne Stillwell reported on the Create-an-Ornament Night.  The event was viewed as favorable and well attended.  Suzanne stated that many families were unaware that PTO defrayed the cost of this event by paying the glazing fee.  Several families mentioned that if they had known, they would have paid the glazing fee.  Suzanne suggested for next year, we give families the option to defray the expense of the glazing fee.

 

D.    Box Tops for Education:  Annette Tessaro distributed a handout outlining the Box Tops for Education program for Hallsville.  She suggested a goal of $615.00 (last year Hallsville Schools earned $513).  Each box top is worth 10 cents.  There are several ways to earn the box tops and these can be found at the Box Top for Education website:  ww.boxtops4education.com.  Annette suggested that PTO sponsor a contest with prizes to encourage participation.  It was decided to offer an ice cream party for the class collecting the most box tops in each building.  Annette volunteered to design a flyer announcing the program and Shawn Ricketts volunteered to make posters to advertise the program.

 

E.     Candy-Gram Update:  Annette Tessaro reported the two Candy-gram drives made $270.00. The concept has been well received.  The next Candy-gram event will be held in the mornings before school on February 12, 13 and 14th.  Laura Kabrick volunteered to make the flyers and Daniel Lane will talk to Gabrielle Scott about designing the Candy-grams.  Annette reported she had found bags with 10 conversations hearts in each for 9 cents a bag.  After some discussion, the group decided to try and find some other candy that was a little cheaper.  Annette will look into to this.  Penny Fadler indicated that it would be nice to expand this to the Middle school.  Since we would likely not have enough parent volunteers to fully staff this, she was going to look into getting a service group to help.  She will get back to us on this.

 

The following people volunteered to help with the February Candy-gram sales: Monday:  Laurie Fowler and Jennifer Blumer, Tuesday:  Kristie Baumgartner, Jennifer Blumer and Abby Reed, Wednesday:  Kami Griffith

 

F.     PTO Newsletter:  Jennifer made a request to all committee chairs to submit a report to Suzanne Stillwell for inclusion in a PTO Newsletter.  Reports are needed by Wednesday, January 10th 2007.

 

 

II.                New Business

 

  1. Fundraising:  Suzanne Stillwell presented some ideas on Fundraising –primarily to raise funds for playground equipment at the new primary building, put forth by Deanna Rowland, who was unable to attend.  The idea that received the most discussion and enthusiasm was what Deanna named “Love to Play” where a donation of $10.00 would earn a heart on a wall with your child’s name.  Deanna envisioned a campaign during January and February.  The team decided before approving this campaign that more information was needed.  Daniel Lane suggested meeting with Tom Baugh to ask how PTO can help.  Suzanne thought Deanna had met with Tom Baugh and would follow up with her on this.  Suzanne also said Deanna was looking into community development grants from Wal-Mart and Boone Electric.  Suzanne, Penny, Jennifer and Kami were interested in serving on a committee to help with fundraising efforts.

 

  1. Up-Coming PTO Activities and Events: We discussed the following events and activities that are scheduled for 2nd semester:

 

 

    1. PTO Scholarship :  Penny Fadler answered questions about the scholarships given out to high school students.  Applications will be due in March and selections need to be made before mid-May.  Jackie Quick is the committee chair and Laura Kabrick will forward a list of volunteers that signed up for this committee.

 

    1. Teacher Appreciation Week:  Suzanne and Penny said Teacher Appreciation week will be re-named “Staff Appreciation Week” to include all staff and will be held on May 7th-11th.  Penny explained that the intent is to recognize the staff with small tokens of appreciation and that events should be kept simple.  The budgeted $500.00 for this event is primarily for the luncheon.  Planning needs to occur about 1 month before the event.

 

    1. Middle School Dance:  Penny reported that planning for the Middle School Dances is under way.  Fifth and 6th grade will be January 26th from 7-9 pm.  The 7th and 8th grade party will be held on February 16th from 7-9pm.  She needs some more middle school parent involvement with the parties and Laura Kabrick provided her with a list of PTO parents with middle schoolers.

 

    1. Pastries for Parents:  Suzanne reported that Pastries for Parents, an event sponsored by PTO for parents to join their child and their child’s teacher for breakfast will be held during the week of February 5-9th.  The event will be held in the library from 7:30am to 8:00am and the schedule is as follows:  Monday:  Pre-K and K, Tuesday: 1st grade, Wednesday: 2nd grade, Thursday: 3rd grade, and Friday:  4th grade.  PTO provides the pastries (glazed donuts), milk and orange juice.  Penny had taken care of getting the supplies in the past but would like some assistance with this and at least two parents are needed in the mornings to help set-up  and clean-up.  Annette Tessaro volunteered to get the doughnuts and several people volunteered to help with set-up and clean-up;  Monday:  Laura Kabrick and Jennifer Blumer, Tuesday:  Annette Tessaro , Wednesday:  Abby Reed, Thursday:  Kami Griffith, Friday:  Kristie Baumgartner.  Volunteers need to arrive by 7:15 am to set-up.

 

    1. Skating Parties:  Suzanne talked about the roller skating parties held at Empire Roller Rink for the elementary students and another for the middle school students.  The parties are usually held in March and run from 11-1pm for the elementary group and in the late afternoon for the middle school group.  Jennifer Blumer and Kristie Baumgartner volunteered to contact Empire Roller Rink to get some dates and times.  Once these are determined, Suzanne volunteered to make the flyer.

 

    1. Miscellaneous:  Suzanne mentioned that the next meeting for the entire PTO membership is in March.  She felt that we should have a program for this meeting.  It was tentatively planned as a meeting where we could discuss child safety.  No further discussion ensued.

 

Suzanne and Penny said that the budget is usually prepared during March and April and presented to the PTO membership at the May meeting.  This meeting is also where awards and recognitions are made.

 

The next Leadership Team Meeting is scheduled for Thursday, February 8th in the Elementary Commons.
