Facilities

The Hallsville School District facilities and common areas are available for use by community members. As a district, we value opportunities that support health, wellness, and positive community engagement through physical activity and team experiences.

Types of Facility Use

Informal Use

Examples include walking or running on the track or small group practice not exceeding six participants.

  • No reservation or approval is required
  • School events and classes always take priority

Formal Use: Formal use includes any group practice or function with more than six participants by non-school community groups or teams.

Available Hours (when facilities are not in use for school programs):

 

  • Monday–Friday: 6:00 p.m. – 10:00 p.m.
  • Saturday–Sunday: 7:00 a.m. – 10:00 p.m.

How to Request Facility Use

To request use of district facilities, please email the Facilities Office and include all required information and documentation.

Email: rrichardson@hallsville.org

Please submit requests at least 7 days in advance of your desired date(s).

In your email, include:

  • Name of organization or team
  • Requested facility
  • Date(s) and time(s) of use
  • Estimated number of participants
  • Any setup needs (tables, chairs, etc.)

A confirmation email will be sent once your request has been reviewed.


Required Documentation

The following items must be submitted and approved before facility use:

  • Acceptance of the Facility Rental Fee Schedule
  • Proof of liability insurance on file with the district
  • A completed team roster and signed liability waiver
  • Agreement to follow all Facility Use Guidelines

  • Lights will not be available unless special arrangements are made in advance
  • School events and activities always take priority over outside use

    West Gym

    Primary Gym

    • Hourly Rate #1: $40.00
    • Hourly Rate #2 (attendant required): $55.00

    Commons

    • Hourly Rate #1: $30.00
    • Hourly Rate #2 (attendant required): $45.00

    Classroom

    • Hourly Rate #1: $10.00
    • Hourly Rate #2 (attendant required): $25.00

    Softball/Baseball Field

    • Hourly Rate #1: $50.00
    • Hourly Rate #2 (attendant required): $65.00

    Primary Field

    • Hourly Rate #1: $20.00
    • Hourly Rate #2 (attendant required): $35.00

    Football Field/Track

    • Hourly Rate #1: $50.00
    • Hourly Rate #2 (attendant required): $65.00

    Rate Information

    • Hourly Rate #1 applies to individual or small group use that does not require an attendant to be present.
    • Hourly Rate #2 applies to large groups (50 or more), groups with an audience, or groups that require restroom access. An attendant is required for these rentals.
  • Organizations requesting use of district facilities are required to provide proof of liability insurance. The certificate of insurance must include the following:

    Required Information

    • Insured: Name and address of the organization requesting use
    • Policy Dates: Must cover all requested dates of use
    • Coverage Limits:
      • $300,000 per person
      • $2,000,000 per occurrence
      • Must list Hallsville School District as certificate holder, 421 East Hwy 124, Hallsville, MO 65255
    • Cancellation Notice: Must provide 30 days’ notice to the district
  • Teams requesting use of district facilities must submit a completed team roster and acknowledge the liability waiver requirements.

    Required Information:

    • Team name
    • Player name (printed)
    • Date of birth
    • Parent signature for each participant under age 18
    • Manager’s name
    • Manager’s signature
    • Date

     

    Liability Waiver and Release of Liability:

    By submitting a team roster, the team manager and participants acknowledge and agree to the following:

    Participation in athletic practices and competitions may involve serious risks, including the risk of injury, death, or property damage. By participating in athletic events held on school grounds, participants voluntarily assume those risks.

    Participants, and parents or guardians when applicable, agree to the following:

    • To waive, release, and discharge Hallsville Public Schools, its organizers, referees, and associates from any and all claims or liabilities for death, personal injury, or damages of any kind arising out of or related to travel to and from or participation in athletic events on school grounds
    • To agree not to sue Hallsville Public Schools, event organizers, referees, or associates for claims or liabilities that have been waived, released, or discharged
    • To indemnify and hold harmless Hallsville Public Schools, event organizers, referees, and associates from any claims made or liabilities assessed against them as a result of the participant’s actions

     

    Additional Requirements:

    • Participants confirm they have read and understand the Waiver and Release of Liability
    • Participants age 18 or older may sign for themselves
    • Participants under age 18 must have a parent or guardian signature
    • Submission of the roster confirms agreement to abide by the Waiver and Release of Liability
